E. EXHIBITOR TERMS & CONDITIONS

1. Corporate ACE Members will be served on a priority basis (in order of confirmation) in terms of exhibit location choice, if applications are received prior to May 31, 2023.  Priority will next be given to Platinum, Gold, and Silver Sponsors in order of confirmation if applications are received prior to May 31, 2023.  All remaining spaces will be provided location choice in order of confirmation.
 
2. Table Preference must be indicated on the registration.
 
3. Formal notice of the assigned space and full payment of the reservation fees constitutes a contract for the right to use space.  In the event of a fire, strike, or other uncontrollable event rendering the exhibit area unfit or unavailable for use or causing the exhibit to be canceled prior to the opening date of the exhibit, payment on account for the reserved space will be refunded.  Any costs incurred by the exhibitor prior to the date of the reservation are the sole responsibility of the exhibitor.
 
4. Cancelations
     - Exhibitors can be provided a refund minus a $100.00 CAD processing fee if the request is received on or before July 15, 2023.
     - No refunds will be provided for cancellations after July 15, 2023.
     - Refunds will not be provided for exhibitors that are "no show"
 
5. ACE will not be held responsible for any lost, stolen, or damaged property.  Exhibitors should ensure they have adequate insurance.
 
6. Exhibitors will hold harmless the 2023 ACE Conference, Association of Canadian Ergonomists, Burlington Holiday Inn Conference Center, and any of its parent subsidiaries, affiliates, officers, directors, shareholders, or employees from and against all claims, damages, liabilities, actions, costs, and expenses (including attorneys' fees) in the event of any liability, responsible for the loss, damage costs, or expense by omission by an exhibitor or any of its agents or employees.
 
7. No exhibitor shall assign, sublet, or share reserved space without the authorization of the ACE Exhibitor Coordinator prior to the conference.
 
8. Conference Registration is not included with the cost of exhibit space and must be purchased separately for those wishing to attend the sessions.
 
9. Company Logo and description must be included with the registration form or forwarded to the ACE Sponsorship/Exhibitor Coordinator (corporate@ace-ergocanada.ca), as soon as registration has taken place for immediate inclusion online.  For ACE's printed materials, all digital media is to be received no later than August 1, 2023.  Digital Media to be included in the preliminary program must be received no later than May 15, 2023.  Please ensure that digital logos have a resolution of 300 dpi or greater.
 
10. Rules and Regulations will be adhered to regarding set-up, operations, and tear-down.  Set-up is to occur on Monday, Oct 2, 2023 (after 7:00 pm EST).  Tear-down will take place on Oct 4, 2023, immediately following the afternoon break.
 
11. To exhibit at the 2023 ACE Conference signed acceptance of these terms and conditions must accompany the Registration Form.
